Add and Update Contacts Using Outlook Plugin in HubSpot

Overview

Don’t want to go through the trouble of accessing your entire CRM to edit a contact? The HubSpot Outlook plugin makes it easy!

Before you begin, make sure you have the correct extension and install HubSpot sales for Gmail, Office 365, and Outlook desktop.

Once you have the plugin for your HubSpot sales emails, open Outlook and create an email. Then, enter the email address of your recipient.

Now, select the “More commands” ellipsis icon located on the right side of the navigation bar. Navigate down and select “Contact profiles.” If you already have the contact’s email in your CRM, the HubSpot plugin for Outlook will pop up on the right side and display the contact card.

From the contact card pop-up, you can go through the dropdowns, ranging from “About” to “Tickets,” and edit any contact information from there. Simply select the dropdown you want to edit and click on the information you want to update; the information should then be highlighted and you’ll be able to edit it.

If the contact is not saved, follow the same process and a popup will appear. Then, select “Add to HubSpot” to create a new contact.

Please note: be sure that the email contact you want to create or access is in the “To” column (the email is being sent to them) and not as a bcc or forwarding address.

You can actually create or edit a deal directly from Outlook. You'll see here, I have already input the name of the person that I want the email to go to. I will have then the sidebar pop up, which will show me their profile and I can come down here to deals and I can see that there is a deal directly within the profile. If I want to go ahead and create a new deal, all I have to do is select the plus button.

And you'll see here to create the deal, all I have to do is fill out fields here. I can edit the deal stage. I can also edit the association for both the contact as well as the company here and then I can go ahead and create the deal. And now I have created a deal.

You'll see here, I have my original deal that was already existing and I now have this second deal that I have created right on top. If I select this, it's going to go ahead and take me to the deal itself, where I can then go ahead and do whatever I need to directly from the CRM.
